I. PartyCon is a celebration of geek fandom and we want to make sure our exhibitor floor meets the expectations of our audience. Therefore, we require that all vendors and exhibitors have some relevance to the broader geek scene. Generally this means things like books, movies, games, comics, artwork, trinkets, costumes, photography, etc…
For the moment, we are not accepting exhibitor applications for independent retailers or MLM such as Avon, Scentsy, Pampered Chef, Amway, etc… We are also not accepting vendor applications for BathFitters, roofing and window companies, PPL, etc… If we have tables left as the con approaches, this policy may change.
We are willing to host independent creators of entertainment that are not part of the usual ‘geek’ domain, including musicians, authors, actors, play groups, and the like.
If in doubt, don’t hesitate to ask.
II. PartyCon is family friendly. That does not mean that products designed for more mature audiences are forbidden, but it does mean that we expect discretion in displaying and letting the little nippers handle them. Please, avoid open display of anything indecent, pornographic, gory, or too scary to youngsters or those with delicate sensibilities.
For the same reason, we ask that you avoid the use of foul language either verbally or on displays.
III. For an entirely different reason, we are not accepting most food vendors. We don’t have the space or the water hook-ups, plus the hotel is selling plenty of food. Sorry. We will accept vendors who sell candy, treats, and things of that nature.
IV. You are not limited to selling only original creations. You can sell whatever you like, so long as you can sell it legally, and so long as the bulk of your products meet the conditions of rules I and II.
V. You don’t have to sell anything at all. You can come just to promote your group, club, or project.
VI. Vendors must agree to have their tables open throughout the vendor hours (see above), unless prior arrangements have been made. If you tear down early, you will not receive a refund, and we may not accept you back next year.
Please note: The party will continue throughout New Year’s Eve past midnight. If you would like to man your table and vend your wares past 9 p.m., you are more than welcome to do so.
VII. Respect the hotel and its property at all times. Do not deface or alter the walls, bathrooms, tables, chairs, TVs, or other furniture. If you have banners or artwork you’d like to display, please hang them on racks or backdrops. DO NOT affix anything to the hotel walls without receiving permission from the convention organizers.
VIII. Be considerate of your fellow vendors and attendees. Do not block the aisles or obstruct access to other vendor tables, the ballroom, or the game rooms. Please avoid shouting to guests or calling them over when they are looking at another vendor’s table. If you do this, you may be asked to leave and will not receive a refund.
IX. You are responsible for protecting your displays and merchandise. Vendor tables will be set up in the Ball Rooms, which will be locked after hours. Artist tables, however, will be in the common area and exposed to foot traffic throughout the night. While we will do our best to watch the area and deal with any problems after hours, the hotel does not have staff to guard it 24/7. Neither the hotel nor PartyCon will be held responsible for any thefts or damages that might occur. We recommend that you take valuables with you at the end of the night and bring them back the next morning.
If you need to leave your table unattended for short periods of time (bathroom and lunch breaks, hosting panel discussions, etc…), we will try to have volunteers watch your table until you return.
X. In order to prevent the monopolization of tables, you may not purchase multiple tables and then sublet them to other vendors without PartyCon’s prior permission.
XI. PartyCon will occur snow or shine, from Friday December 30th. 2016 through January 1st, 2017. The event will go on unless the hotel itself is closed. Therefore, no refunds shall issue for non-appearance or for any other reason. If you need to cancel your table, you must contact us by email no later than November 30th, 2016, and we will provide you with credit for next year’s event, or else try to find some other mutually agreeable resolution.
